1. Give Clients a Scheduling Link, Not a Calendar Attachment
Sending a .ics file and hoping clients add it correctly is a recipe for no-shows. A scheduling link lets clients pick their own time, add it directly to their calendar, and receive a Google Meet link automatically. It's a significantly better client experience.
2. Set a Minimum Notice Period
Allowing bookings with zero notice implies you're available on demand, which undermines your professionalism and leaves no preparation time. A 24-hour minimum tells clients that you take their meeting seriously enough to prepare for it.
3. Confirm Immediately
Clients should receive a booking confirmation the instant they schedule. Automated confirmations via Slotwise include the meeting time, duration, location type, and a Meet link. No client should ever wonder if their booking went through.
4. Include a Clear Description of the Meeting
Your event type description sets expectations. A 30-minute consultation should say what will be covered, what the client should prepare, and what the outcome will be. "30-minute call" tells them almost nothing useful.
5. Don't Schedule Back-to-Back Without Buffers
Arriving late to a client meeting because the previous one ran over is unprofessional and avoidable. Add buffer time in your availability settings so every meeting has breathing room. This is also a courtesy to yourself — you'll think more clearly going into each call.
6. Respect Time Zones
Slotwise shows times in the guest's local timezone automatically. But if you're following up manually (e.g. sending a summary email), always write the meeting time in the client's timezone first, then yours: "Monday 9:00 am your time (4:00 pm PKT)."
7. Send a Reminder (or Let Your Tool Do It)
A 24-hour reminder reduces no-show rates by up to 40%. Your calendar tool sends these automatically. All you have to do is ensure the guest's email address is captured correctly at booking time — which a booking form handles automatically.
8. Make It Easy to Reschedule
Life happens. A client who needs to reschedule should be able to do so without emailing you to ask permission. Slotwise generates a manage link with every booking so guests can reschedule or cancel themselves — saving both of you an awkward email exchange.
